Commercial terms for quotations, proposals and confirmed services arranged by Olive Tree DMC across Indonesia, Vietnam and Hong Kong.
1 Scope of Services
Olive Tree DMC provides destination management services including itinerary design, hotel arrangements, ground transport, guides, experiences, restaurants, venues, MICE services, luxury arrangements and operational support for travel-trade partners and their clients.
2 Quotations
- All quotations are subject to availability at the time of booking.
- Prices are not guaranteed until services are confirmed and payment requirements are met.
- Rates may change due to currency fluctuations, fuel changes, supplier revisions, tax changes or availability.
- Quotation validity is stated on each proposal.
3 Inclusions and Exclusions
- Inclusions are only those clearly listed in the proposal.
- Exclusions may include international flights, domestic flights unless stated, visas, travel insurance, meals not listed, drinks, tips, porterage, personal expenses, optional tours, excess baggage, early check-in / late check-out, and anything not clearly included.
4 Payment Terms
Payment terms vary by destination and supplier. Unless otherwise agreed:
- a deposit is required upon confirmation;
- the balance is due before arrival according to the confirmed payment schedule;
- hotels, flights, cruises, venues and special services may require earlier or non-refundable payments;
- bank charges are the responsibility of the sending party;
- services are not considered confirmed until payment obligations are met.
We accept payment by bank transfer and, where available, credit card. Full payment details are issued as a formal payment request using the agreed method.
5 Cancellation Policy
Cancellation charges depend on the suppliers involved and the confirmed services. Hotels, domestic flights, cruises, venues, event services, special permits, visas and peak-season bookings may carry stricter cancellation terms. Where possible, Olive Tree DMC will try to reduce losses or negotiate credits, but supplier penalties and non-refundable costs remain the responsibility of the client / partner.
General framework (indicative only — final terms are stated in each proposal):
- After confirmation: supplier charges may apply.
- 60–31 days before arrival: partial charges may apply depending on suppliers.
- 30–15 days: higher charges likely.
- 14 days or less: significant or full charges may apply.
- No-show: 100% charge.
6 Domestic Flights, Cruises and Tickets
- Once issued, tickets may be non-refundable and non-changeable.
- Name corrections, baggage, seat selection and schedule changes depend on airline / provider rules.
- Flight schedule changes are outside Olive Tree DMC's control.
7 Hotels and Rooming Lists
- Room types are subject to availability.
- Bedding requests cannot always be guaranteed.
- Early check-in and late check-out are subject to availability and may cost extra.
- Groups must submit rooming lists by the deadline stated in the proposal.
- Late changes may result in extra charges.
8 Guides, Vehicles and Operational Timing
- Programs are based on reasonable operating hours.
- Overtime, late-night services, route changes or additional stops may create extra charges.
- Travel times are estimates and can be affected by traffic, weather, road conditions, ceremonies, public holidays and local events.
9 Meals and Dietary Requirements
- Dietary needs must be advised in writing before confirmation.
- Olive Tree DMC will coordinate with restaurants and hotels but cannot guarantee allergen-free environments unless explicitly confirmed.
- Kosher, halal, vegetarian, vegan, no-pork, gluten-free and other requirements may involve additional cost and advance planning.
10 MICE and Events
- Venue deposits, AV, production, entertainment, gala dinners, branding, permits and special setups may have separate payment and cancellation terms.
- Final numbers and technical requirements must be confirmed by the stated deadlines.
11 Force Majeure
Olive Tree DMC is not liable for changes, cancellations or extra costs caused by events beyond its reasonable control, including weather, natural disasters, volcanic activity, earthquakes, political unrest, strikes, government restrictions, airline disruption, epidemics, war, terrorism, border restrictions or supplier failure. In such cases, Olive Tree DMC will assist with alternative arrangements where possible. Additional costs are borne by the client / partner unless covered by suppliers or insurance.
12 Travel Insurance
Comprehensive travel insurance is strongly recommended for all travellers, covering medical expenses, cancellation, delay, baggage, force majeure and supplier failure. The travel partner is responsible for ensuring clients are adequately insured.
13 Partner Responsibility
The travel partner is responsible for ensuring that final clients understand passport and visa requirements, health requirements, insurance, payment deadlines and cancellation conditions.
14 Liability
Olive Tree DMC acts as destination manager and coordinator of services. It is not liable for the acts, omissions or failures of airlines, hotels, transport operators, attractions, venues or other third-party suppliers, except where required by applicable law.
15 Confidentiality and White Label
Partner rates, proposals and commercial terms are confidential and may not be shared publicly. Where white-label handling is agreed, Olive Tree DMC will protect the partner's client relationship and communicate through the agreed partner channel.
16 Last Updated
These terms are general and accompany every quotation and proposal. Final terms are those stated in the individual proposal. Last updated: June 2026.

By confirming a booking, the partner / client acknowledges and accepts these terms together with the specific conditions stated in the relevant proposal.
